Site Inspections

Vinnie has a long history of site inspections of all sorts of venues. We have inspected over 1000
hotels in the US and Europe and interesting venues as well. Among the interesting are the
Dallas Infomart, Studio 54 in NYC, the Field Museum in Chicago, Chicago Merchantile
Exchange, several Palaces of Vienna, and several stadiums including Nassau Coliseum,
Madison Square Garden, and the United Center.
Convention centers in Dallas, NY, Boston, Chicago, Atlanta, Washington D.C., Seattle, Orlando,
Phoenix, Acapulco & New Orleans are among many that I have surveyed and worked.
Theaters such as the Ford in Detroit, Shubert in NY & Chicago, Millennium in NYC, the Fox in
Atlanta, Cadillac in Chicago, the Shrine Auditorium in Los Angeles, the Orpheum in Phoenix,
Masonic Auditorium in San Francisco as well as University theatres at Pace in NYC and SMU in
Dallas. Atriums such as the Dallas Infomart.

Site inspection importance and value is often overlooked by budget concerns and
underestimating the complexity of the show. Many times the cost of the site inspection will pay
for itself in many ways.
A site inspection can also be of value in the creative process by allowing the creative team to
work within any constraints, but also to work without any hypothetic alls till a survey is done. I
have seen many a creative curtailed, embarrassingly after being sold and then doing an
inspection.
Additionally, site inspections can build the relationship and open communication between the
TD and the staff of the hotel or meeting facility.

Knowledge is everything!

Using the wrong person to do the job can cost more in time, money and frustration. Wrong or
flawed information can have catastrophic effects on your project.  Not knowing where the
chandeliers are or even the nature of the loading dock can have major influences on your labor
budget alone.
Often stated, “My A/V Staging company should be able to send somebody”  Wrong!
-        Many Staging company staff  technicians and management are specialists, i.e. video,
sound or lighting. Even if they multi task they are not riggers, they do not draft their results, they
do a survey once or twice a year, and that inspection may not even of their own  project. Often
staging company site inspections are done by whomever is available in the shop or coming
home from a road trip diverted to the venue, tired, and not the project manager or CAD project.
-        Generally, they do not even have the right tools to do a comprehensive job.
-        Do they get all the right information from engineers, conventions services, and their
competitor - the in house A/V?
-        You may get a free or "included" site inspection at the cost of thoroughness

It all goes to knowing what to ask, what to photograph, what to measure, what measurements
not to miss, knowing what you’re looking at and being thorough.

Information is the next best thing!

Maintent site inspection surveys are complete in every way. We start by having a prepared site
inspection survey form. This form has been prepared over 30 years by personal experience and
input from the hundreds of clients I have worked for. There is little if not nothing that this form
does not incorporate.
Little can be accomplished if the venue isn't  "expecting you, so we have an established agenda
at the venue to meet all the appropriate people in the most efficient means possible.
Time needs to be scheduled appropriate to the amount of space to be surveyed. I always find
that it is best to gather information on the whole venue. You never know what else your client
may throw at you and it can be embarrassing and costly to have to return.

We deliver a comprehensive package of information with accurate measurements of rooms
hallways doors freight elevators and more and photo gallery of room(s), ceiling above and
below, load in passages and elevators, truck docks, and connection ports for power, A/V, and
communication.

We follow up with CAD drawings of “as built” as well as any facility CAD plans. Our CAD plans
will feature elevation drafts, reflected ceiling plan and details such as chandeliers, sofits, and
other obstructions.
Noted are fire and safety requirements, electrical outlets and distribution, A/V
ports, communication panels and all wall irregularities.
All hotel brochures and plans are scanned and included. We also research the local yellow
pages and retrieve up to 3 vendors in several categories that are consistent with the various
needs on site that we all have to use from show to show.

We  deliver by e-mail or a CD for your files an easy to follow and reader version of our survey
form with CAD, scan’s of hotel literature, photo gallery, a synopsis by me of the facility
discussing ease of load in, staff, snafu’s and the like.

Maintent will do site inspections even if you do not require our services as a Technical Director!

Additionally, site inspections can build the relationship and open communication between the
production company and the staff of the hotel or meeting facility.
